Your new role:

 

We have an exciting opportunity whereby we are seeking expressions of interest.  We will also be considering applicants from the external market. Please note only suitable candidates will be contacted.

 

We are currently inviting expression of interests for a newly created role that will provide support to the Centre of Excellence team with all things related to the management and administration of contracts. The purpose of this role is to support the Supplier Commercial Specialist in providing centralised oversight and standardise management of supplier contract in accordance with the Metro Trains Melbourne Enterprise Contract Management Framework

 

Functional Responsibilities

 

  • Organise and schedule supplier meetings performance review meetings.
  • Establish working and open relationships with suppliers and internal stakeholders.
  • Responsible for meeting minutes including attend meetings to take, draft, finalise and distribute minutes to stakeholders. 
  • Create and maintain supplier registers include contract expiry date, options, variations, bank guarantees and conflict of interest.
  • Assist in the preparation of key reports and manage updated deadlines on these reports.
  • Monitor COVID Safe Plans updates and communicate Metro Trains Melbourne COVID compliance requirements to suppliers attending MTM sites.
  • Draft and support to finalise contract notices and including verifying references against the contract.
  • Administer contract security including following up, notifying of expiring and lost and replacement.
  • Continuously monitor the financial health of the supplier.
  • Create regular status reports regarding progress of contracts and suppliers (is required).
     

About You

 

  • Prior work experience in a contract management tasks, such as purchasing
  • Demonstrate excellent administration skills and a high attention to detail 
  • Strong verbal and written skills, and ability to convey complex information in a way that others can readily follow
  • Excellent stakeholder management skills 
  • Ability to prioritise and schedule work priorities to ensure deadlines are strictly adhered to
