ABOUT THE ROLE
We currently have an opportunity for a Supply Coordinator to join our Infrastructure team based at E-Gate on a full time permanent basis.
As our Supply Coordinator you will be responsible for sourcing the supply of Plant (Machines), Labour and Safeworking Resources for our works, supporting the business with efficient planning and controls over supply and invoices.
To excel in this role you will use your expertise to engage key internal and external stakeholders, relying on your clear communication and time management skills to ensure that the high volume of Requests for Resources are actioned in an accurate and prompt manner.
KEY RESPONSIBILITIES
- Process labour, safe‑working, and plant requests accurately and efficiently in line with MTM processes and procedures, ensuring requests are progressed within tight timeframes.
- Proactively engage with suppliers to coordinate and confirm requirements, ensuring internal customer requests are satisfied and works are supported as planned.
- Prepare, update, and maintain multiple reports and spreadsheets, contributing accurate data and information to support management reporting and operational visibility.
- Collate, review, and submit supplier feedback forms in accordance with MTM processes, ensuring completeness and compliance.
- Reconcile supplier invoices against approved rate cards, validating charges and supporting documentation in a high‑volume invoicing environment.
- Identify, question, and follow up on invoice discrepancies, errors, and queries with suppliers, preparing variations where required to ensure invoices are procesed correctly.
- Track requests end‑to‑end, from initial submission through booking, completion, and invoicing, working autonomously to ensure timely resolution while escalating issues where required.
ABOUT YOU
- Proven ability and experience processing a large volume of invoices efficiently
- Strong attention to detail, supported by clear and professional communication skills.
- Demonstrated experience coordinating and validating booking requests, raising purchase orders, and reviewing invoices for accuracy in a high‑volume environment.
- Strong time management and organisational skills, with the ability to prioritise competing tasks and meet deadlines.
- Experience managing, using, and maintaining administrative and financial systems, with the ability to adapt quickly to new processes and tools.
- Advanced practical capability in Microsoft Excel, including accurately completing and updating multiple spreadsheets, maintaining data integrity, and cross‑checking information across sources to support invoicing, bookings, and contract records.
